Now that you’ve got the basics of charting down, let’s go a little deeper. In this lesson, we’ll share 10 of our favourite tips to help you chart faster, stay organized, and make the most of Jane’s charting features.

Tip #1: Duplicating Notes
if you often find yourself writing similar notes from one session to the next, this one’s for you.
Duplicating a previous chart entry copies over all of its contents — think of it like a built-in copy/paste tool. From there, you can leave the text as is, or make any edits you need.
You’ll typically do this from the Day View, but you can also duplicate notes from a patient’s Charts area.

Tip #2: Pinning and starring Chart notes
Got a patient intake form, key progress note, or an uploaded document you want to keep handy? Jane makes it easy with pinning and starring.
Starring a chart entry highlights it and moves the entire note to the top of the list — helpful for anything you want to keep front and center.
Pinning lets you highlight just one section of a chart (like a key paragraph or note) and have it show up as a card at the top of the chart area.
As one Jane user put it, these are like digital sticky notes you’d normally place on top of a file.

Tip #3: Searchable tags
If you often use the same word, phrase, or abbreviation in your entries, Jane’s search bar makes it easy to find them later.
Just type the term into the search field at the top of the chart area, and Jane will show all chart entries that include it.
Tip #4: Medical Alert
Use the Medical Alert section to flag key details — medical or otherwise. It’s not part of the official chart record, so it’s perfect for helpful reminders like: “Ask about Scruffy the cat.”
To add an alert:
Click Medical Alert
Add your note
Click Save
To remove it, just delete the text and save again. The alert will appear as a yellow banner at the top of the chart.
Tip #5: Chart with modules
Modular charting lets you build your entry piece by piece — or skip parts you don’t need.
Remove items by hovering and clicking the trash can icon.
Add items or Chart Parts using the Add Item button at the bottom of the chart.
This is great if you want to start with a basic template (like a standard follow-up) and then mix in more specific modules when needed (say for orthotics, for example).
Tip #6: Phrases & keyboard shortcuts
Jane’s Phrases feature lets you save snippets of text you use frequently and insert them with a quick keystroke.
You can use it for:
Common treatment plans
Exercise prescriptions
Billing codes
Symptom descriptions
Medications — the list goes on
Once created, just type your shortcut and Jane will auto-complete the phrase.

Tip #7: Sharing info with patients
You can share charts and files directly through Jane. Patients will find them under the Documents tab in their My Account area.
Two ways to share:
1. Share a chart entry
Before signing a note, scroll to the bottom and click the Not Visible to Patient button — it’ll switch to say Visible to Patient. Once signed, the note will appear in their Documents tab.

2) The files section of the patient profile
Go to the Files tab in their profile and upload your document. You can toggle Visible to Patient and/or Include in Patient’s Chart depending on how you’d like to store it.

💡Jane Tip: Plan for paper. There are some forms that you just can’t avoid. Paper intake forms for those that aren’t comfortable with computers, or specific insurance or consent forms. Many of our Jane users are laminating the form on hard card stock and then have people fill them in using erasable markers. You can then scan in the completed form and erase the form for the next use.
Tip #8: Print/export Chart notes
Need to share chart records for a referral or legal request? Use the Filter/Export button at the top of the Charts page.
You can filter by:
Practitioner
Discipline
Date range
Then click Print or PDF to generate the file.
💡Jane Tip: Often you need to send Progress Reports, Doctor Letters or other Form style Letters to people outside of your practice. Learn all about creating letters in Jane here: Letters In Jane
Tip #9: Format Your Chart Entries
Whether it’s a progress report, a letter, or a patient record, we think it could all benefit from a little extra style and structure. Formatting allows you to emphasize key points, organize recommendations, and link resources to provide a little extra clarity.
Bold (B), Underline (U), Italicize (I), create Bulleted or Numbered lists, and Link (🔗) to important documents (like this one on how to Format Your Chart Entries!)
Tip #10: Access all your charts in one place
Want to view all your draft or completed chart entries at once?
Head to your Staff Profile > Charts tab. You’ll see every entry you’ve written — across all patients — in one tidy list.
