Every now and then, a chart needs a bit of extra care. Maybe there’s an update to make, or an entry that needs review by a supervisor. Whatever the case, Jane gives you the tools to handle these situations — all while staying compliant with charting regulations.
These regulations generally require that:
Original entries remain visible and unchanged — even after edits.
Any updates to a signed chart are clearly documented and dated.
Supervisors sign off on charting done by team members in training.
Jane helps make all of this easy, while keeping your documentation tidy and trustworthy.
Deleting, moving or changing a Chart
Sometimes a chart gets created by mistake — maybe it was started under the wrong patient, signed too soon, or just needs a quick fix. Jane gives you flexible tools to handle these situations, while still keeping a clear record of what’s been changed and why.

Charting privacy settings
Sharing chart notes can look different from one clinic to another. Jane gives you flexible privacy settings so you can control who sees what — while keeping things simple and secure.
Each staff member can set their own default privacy level for chart notes. To find this setting:
Go to the Staff tab.
Click into your profile.
Select Edit/Settings > Settings.
From there, you’ll see these options:
All Staff — anyone on your team can view your chart notes.
All Staff in My Discipline — only staff with the same discipline tag can access your charts.
My Eyes Only — your charts stay completely private unless you choose to share them.
Once you’ve decided on the basic level of access, you can also add on individuals with whom you’d like to also share chart notes. Under the “Share all my charts with:” section, you’ll be able to start typing in the name of the person you want to share with:
Need to loop in a colleague, admin, or locum practitioner? Use the “Share all my charts with:” section to manually add individuals.
Just start typing a name — click to select.
The staff you’ve shared with will appear in a list.
To remove someone, click the trash can beside their name.
In the example below, chart notes authored by this practitioner will be seen by themselves - plus Dr. Marcus Gregory.
💡 Jane Tip: This is especially useful if:
Admin staff need access to fulfill medical record requests
You’re working with a locum who needs full visibility
You want to share with a supervisor or collaborator
You can also set chart access on an entry-by-entry basis.
Inside a chart, look for the “Viewable by…” box.
Use the dropdown to update access for that individual note.
We recommend setting your default chart privacy when you first create your staff profile. If you change it later, it won’t apply to existing chart notes — only new ones going forward.
But don’t worry — you can update privacy levels in bulk if needed.

Privacy Mode
Working in a shared space? Jane makes it easy to protect patient privacy with just a quick keystroke.
Privacy Mode helps blur out client names across your schedule, patient list, and charting area — ideal for when you’re at the front desk or working where others might catch a glimpse of your screen.
To enable Privacy Mode quickly, just press:
Shift + P
Perfect for those “uh-oh, someone’s behind me” moments.

To finish, find the drop-down menu at the top right of your screen under the login name, and select Disable Privacy.
Supervision & charting
Many clinics work with practicum students or clinicians who aren’t fully licensed yet — like therapists in training. In these cases, a supervisor’s sign-off is often required on their chart notes.
Jane’s Supervision feature helps simplify that process, making it easy for both the supervisor and supervisee to stay organized and compliant.
To get started, head to:
Settings > Supervision
💡 Don’t see this tab? You’ll need a Full Access user to help set it up.
Then follow these steps:
Click Create Supervisory Relationship
In the first drop-down, select the Supervisor
In the second drop-down, select the Supervisee (the staff member being supervised)
Click Save
By default, any chart created by the supervisee will now require a signature from the assigned supervisor before it’s considered complete.
